Question about the vans!

I'll be getting my full license about the end of July, but I've heard that some rental places won't let you drive their vans unless you've had your liscence for a few years/are over 21ish years old.
That would put me out of driving the one day van on both counts....

... and are we booking vans together, or should I go off and scout out a van myself?

um, yeah we're not ready with numbers to go booking vans yet, and licenses I'm not sure yet, I think I know a couple of people but haven't asked them =P
One place I looked up about hiring vans said you only needed a full license nothing about how long etc ... If I remember rightly...
um for chch, probably book together? I think it'll be easier that way.

Riven: Icyrose mentioned that they rented their van from Rhodes Rentals when the Dunedinites made the trip up to ChCh for Armageddon. I had a look through their website and pricewise they look pretty competitive. They also have a weekend minibus special running until Sept. The single day rates I'm not sure about since I didn't do alot of research on those, but they're based on a rate with 150k's free and then 30-35c/k after that.

Anyone know how many k's it is from ChCh to Timaru & back?

Plus yeah, I'd vote for booking together aswell, possibly even try to swing the Dunedin one in at the same time and see if they'll give any further discount for renting 3 vans at once.

i think that we'll be fine for drivers... i'm fairly sure someone with their full license is coming up, as far as i know. if not, i'm sure some sort of alternative can be arranged.

I think its around 160km from Chch to Timaru, it usually takes 2 hours = so 320km

wouldn't have a clue, at the moment I have no idea whose going and what transport they have in mind.
Though, I think a couple so far are driving up with family.

I think thats the biggest problem at the moment, which is why so many are unsure.
I have 13 that have said they're going, 17 that are unsure.
Out of those 11 want to stay the night and 14 are unsure of which they'll do, with 5 going home Saturday.

For rides 15 say they'll need one, 6 have their own, and the rest are unsure.

so um, when do you think would be a good time to ask for final yes/no answers?
We dont really need them for booking the scout hall, just for hiring the vans.
Would the end of June be too late/early?

hm you could book the vans with space for a few extra...

a big problem will be if people pull out and then dont pay for van/hall/other. just thinking ahead here but you may want people to pay for vans etc in advance so then you have definite numbers and you'll know where everyone stands for staying the night or not

but thats a good amount coming by the looks of it. I'd love to stay the night but nope im needed in Chch the next morning >_<

we already know about those sorta things, but it's difficult to get people to pay when it's X number of months away. definite numbers probably won't be avaliable until a month before, at the least, in my opinion.

Just for the sake of argument there will be a number of 'definite definite' people, so is it worth seeing if some are prepared to put some money down so that the scout camp can be booked/reserved? Things like the vans can probably be juggled a bit closer to the time, but for the people that are staying the night the further out it can be secured the better. It does also put some commitment in, once you've paid some money you're less likely to change your mind.

Doesn't have to be a huge amount but by the sounds of things the guy who runs the scout camp seems pretty relaxed, so putting some money down shows a commitment on our part for him to hold that spot open for us.

The daytime use charge was only $5 wasn't it? It's a pretty small amount even for those that are financially challenged, so what about using that as a figure?

Oh so hey, is it too late to sign up, I've only recently joined the forums, but I read this, and the idea is great, I don't have any occupation or anything, but I have steady income, being that I don't have a job I'm always free, so I can give you a definite yes, I'm not sure how I could get there, I can take a public bus if theres company that will bus with me, and I'm all up to stay out there for the night

Zorlich - yeah summary of how the plannings going so far (afaik) is below:
When: Sat/Sun 30-31 August 08.
Where: Staying at a scout camp out of Timaru
- charges $5 per head for daytime use, and $10 for overnight.
- has hall etc so we can go indoors if it's raining.
How: Hiring Minivans (~10-12 ppl), plus probably a luggage trailer.
- people travelling in them splitting for rental & fuel costs
- sounds like maybe one van from Dunedin (Seraphik is looking after Dunedin)
- probably two vans from ChCh, one staying night, the other returning Sat evening (Aura looking after ChCh)
- the 1 day returning van I think Riven may be doing/discussing?
- also sounds like several people with parents may be travelling by car

Umm, yeah, that's about the state of things off the top of my head. Anyone please correct me if I'm wrong.

Will they take a creditcard for deposit? If so I can put my forward to secure the booking, then sort it out with everyone later.

Edit: I'd still recommend people putting money in (committing), but in terms of securing the booking I am prepared to put the cc# to them to secure it since the last thing we need is a weekend with nowhere to stay.

Okay so what we're doing, we're holding a picnic and a sleepover in Timaru.
You can either go for just Saturday and come home again, or stay the night.
bring some money for minivan hire, food and hall hire - we've got to work out how much total but it shouldn't be too expensive.
If theres anything else you or your mum wants to know just ask away.
Also if you want you can even give your mum my phone number (I'm 23, one of the organisers of this and the chch cosplay club) and she can talk to me about any concerns or worrys she may have ^^

I think if you want definate numbers you are going to have to send out notices for the parents because there is no way dad will let me go unless it's all planned and official with definate leadership

I was gonna write a letter when we had things a bit more organised. We still have questions and things to sort out...
The transport, food, well actually more importantly how much. Parents are gonna want to know.
Unless we do just estimate and say under $50...

did we actually make a estimate on how much this'll cost in the end? oO
~ our place to stay is fine: $5 or $10
~~~ food for dinner is ? say $10ish... wait...~~ ***
~ all thats left is the van hire/petrol useage - will it be more then $30 per person?

***and yes what ARE we gonna do about dinner and Sunday breaky/lunch btw...
~ When bringing food for saturday, do we bring extra for Sunday as well?
~ Or do we go into Timaru and gets stuff, remember its 37km which is like 20min drive?

Saturday
Breaky - everyone has at home.
Lunch - well thats the picnic
Dinner - those that go home can have it at home, those that are staying the night. What are we going to do?

Sunday
Breaky - I'm sure some of us can bring some breakfast foods
Lunch - ... left over picnic stuff? The extra picnic stuff?
Dinner - ?
We haven't sorted out when it ends Sunday... have we?
Do we have dinner in Timaru, or on the way back, or to save money head back and just have it at home?

May I re-suggest an idea: this is totally dependent on the weather, if its sunny. We go to Timaru, have the picnic in the bay or a park close by (I know a few.) We go into town get some dinner somewhere all together. Or we buy stuff to bring back to the lodge.
Meanwhile those that are going back leave, while we travel to the lodge.
This means that we have our dinner, and those that are staying the day dont even have to pay the $5 for the lodge.
Course this is a weather-dependent plan so ... >__>;;
